Treasurer’s Report: Report given by Shirleen Heaton.
Budget sheets were passed out for review. Since the last PTA meeting, we added
funds from the book fair and Santa’s workshop.

Copies of the minutes from November’s PTA meeting were also distributed, and the
minutes were approved at the conclusion of the meeting.

Book Fair— Stephanie Sappington reported on a successful fall book fair. In addition
to students purchasing books, teachers were also given $25 from the PTA for books.
The spring book fair will be held Feb 28th-March 2nd. In addition to volunteers to
help during the fair, we are looking for people to help set up the Friday prior so that
teachers can pick out books in advance. We expect sales to be even higher since all
books will be buy one, get one free.

Dollar Dress Down Day— Michelle Joines reported that the Dollar Dress Down Day is
going well, generating nearly enough funds to cover the volunteer hour vouchers for
uniforms.

Secret Santa Shop— Shannon Woolf and Sara Cox reported on the Secret Santa Shop.
First of all, many thanks to those who volunteered. As this was our first year with the
Secret Santa Shop, we learned a lot and many families benefitted. Next year we hope
to have better communication with parents to better inform them of their student’s
shopping day. We also hope to move the shop into a classroom to allow students to
circulate through more easily and cut down on the disappearance of small items.

On April 5th, the Community Council will revisit the school uniform policy. It was
proposed that we send home letters in the communication folder asking parents whether or not they would like navy blue collared shirts added to the school uniform.

This information would then be shared with the council as a petition.

Nominating Committee. Shannon explained that PTA bylaws state that we should
have our executive board by March 1st. Ideally, we would like to vote in the board by
our February 2nd PTA meeting. Shannon has agreed to step up as President again next
year, provided that we are able to find vice presidents for the two following years.
We would still LOVE to find a Spanish president to work together with the English
president so that everyone is represented. The committee will be sending home a
flyer asking for nominations, so please consider how you might help and talk to your
friends.

As a representative of the community council, Desiree Mortenson suggested we share
what we have learned about the benefits of dual immersion education with the other
district elementary schools who are considering adopting dual language programs.
Shannon pointed out that the District level PTA meetings might be a good forum to
begin creating contacts.

There was also discussion about how we are starting earlier to petition for a Spanish
class at Lava Ridge Middle School by contacting and communicating with the parents
for fifth graders.

Principal’s Report:
Finally, Mr. Porter gave a special report on a new ILS (Integrated Learning System)
computer program for Literacy and Math that has been mandated by the school
district. Beginning in February, each student must spend 30 minutes a day, four
days per week learning from this computer program. While this program has proven
successful in enhancing student performance in other areas of the state, it is
nonetheless very challenging to squeeze more time into Dixie Sun’s extremely packed
schedule.

Different options for accommodating this new ILS program were discussed including:
- moving violins to the after school program
- handing PE over to the classroom teachers to do during recess
- approaching the school board about making Friday a full day of instruction
Mr. Porter welcomed input from the parents about which options they find better or
worse.

The minutes of the August 13th, 2011 PTA board meeting minutes were accepted.

Treasurer’s Report:  Report given by Shirleen Heaton.

Budget sheets were passed out for review.

Expenditures:  Many more communication folders needed to be replaced than originally anticipated.  $801.94 was spent, whereas only $350 was budgeted.

Motion by Shirleen Heaton:  I move that we take $331 (from balance) and move it for the communication folders.  I move that we take $169.94 from pool party and move to communication folder and calendar magnets.   18 affirmative approval votes.  Motion adopted.

Special Items:

Fall Carnival—The teachers (Laura Bautista, Shelly Reynolds, and Jennifer Paystrup) volunteered to take charge of the Fall Carnival since nobody else has volunteered.  Thank you!

Secret Santa Shop—The PTA decided to organize a Secret Santa shop fundraiser during the first week of December.  Shannon Woolf agreed to be in charge with Sara Cox assisting.

Vision Screening—September 28^th.   The school needs parent volunteers to assist since the entire school will have their vision screened.

Membership Drive—September.  The class who has the most PTA sign-ups will build a bridge out of Megablocks to represent our PTA theme for the year, Building Bridges.

Mileage Club.  We are in need of a Mileage Club chair.  Sara Cox volunteered.  Thank you!

Officer Reports:

International Dance Festival—A report was provided by Sonia Larsen.  The festival will be held on September 22^nd, 2011.  Dinner will be provided by the PTA beginning at 5:00 pm, with the dance festival beginning at 6:30.  We need MANY volunteers to bring food, set-up, serve, and clean up.  Please spread the word!

Reflections—A report was given by Desiree Mortenson. This year’s Reflections theme is “Diversity Means…”  Students are invited to submit projects in photography, literature, visual arts, 3D arts, film, theater, music, and dance.  Reflections projects are due at the beginning of October.  We will need a minimum of 8 volunteers on October 3^rd to organize and register student projects.  Also, Desiree is looking for someone to make some nice “thank you” crafts for the judges.

Legislative VP—A report was provided by Jerry Olsen.  Dixie Sun’s dual immersion status is subject to review by the school board this year. At this time the program is still considered as a “pilot program”. This review could end up doing one of 3 things; making the dual immersion status permanent, continuing it as a “pilot program until more data can be collected, or canceling the program all together. At this month’s school board meeting, the board members will be reviewing data compiled by Dr. Brad Ferguson in response to 5 different questions asked by the board specifically about the dual immersion program at Dixie Sun. Jerry reports that it is imperative to have parent support (both English speaking and Spanish speaking) at this month’s board meeting (September 13th). The board members begin to meet at 1:00pm with a closed doors meeting  - then sometime between then and 4:00 they move to a working meeting (where the data will be reviewed) and then finally at 4:00pm the actual “Board Meeting”. Parents are invited to sit in on both the working meeting and the board meeting. Jerry would like to gather a group of individuals to attend this month’s board meeting together. Jerry also mentioned that if parents are not able to make it to the board meeting they can still contact the board members through the school districts website to share their thoughts, concerns, etc.

Uniform Store—August’s “Dollar Dress Down” Friday raised around $250 for school uniforms.  The school uniform policy was clarified—navy blue polos are never part of the uniform.  On PE days, students may wear the navy Dixie Sun PE shirt.  Otherwise, they must wear the usual school uniform.  The need for consistent enforcement of the policy was also discussed.

Budget Approval:
Shirleen: I move that the budget be approved as proposed Motion was seconded. Shannon: Are there any further discussions or questions?

Discussion: It was brought up that only counsel dues are listed on the budget. With the way that we are covering dues for PTA members should we list total membership dues on the budget. If budgeted for 400 members, $200.00 for counsel, $900.00 for national, and $400.00 for state dues; for a total of $1,500.00 in dues. This would leave a net of $531.00 on the budget.

There was discussion on why we are offering to pay membership dues for PTA members for the 2011-2012 school year. It is in an effort to promote PTA membership. Ann Wong brought up that she does not have a budget for any paper or prizes for her Fundraiser. It was suggested to add $200.00 to the prizes line item on the budget. That would then leave a Net of $331.00.

Shannon: If there is no further discussion, we will take the vote on the motion to approve the budget as proposed. All in favor please say aye. All opposed please say no. _20_ Aye’ s _0_ No’s

The meeting was called to order by PTA President Shannon Woolf at 7:07 p.m.

The minutes of the April 28^th board meeting were accepted.

Michelle Joines was recognized and thanked for her tireless efforts as PTA President over the past two years.

Treasurer’s Report:  Report given by Shirleen Heaton.  Financial information on Income/Expense was available for review.  The primary expense since the previous meeting was PTA conference.

Event Feedback on Open House:  Report by Jerry Olson.

The Open House was a great success.  The quality of the day program was excellent, despite somewhat low attendance.  Fortunately, three school board members were among those present.  The 1^st grade program was recognized as outstanding.   It was suggested that in the future, it might be good to incorporate a similar program as a focal point for the Open House.

The evening program featured dinner, displays, and a guest speaker, Greg Roberts fromSaltLake.  There were 75-80 people in attendance including four board members, two mayors, city council members, as well as elementary and secondary school principals.  The Open House made great strides in accomplishing two-fold purpose: to provide positive information to the school board before Dixie Sun’s dual immersion program approval vote of school board, as well as garnering public support for a second school focusing on dual immersion.

Co-Chair Challenge:  Issued by PTA President, Shannon Woolf.

Shannon encouraged the board to find a co-chair who predominantly speaks a different language.   The motivation is to help build bridges between the language communities, as well as to draw people into the PTA who are not currently involved.

Board Positions Needing to be Filled:

Carnival Co-Chair, Parent Communications VP, Phone Tree Co-Chair, Newsletter Co-Chair, Health and Safety VP, Bike Safety Co-Chair, Reading Co-Chair.

Desiree Mortenson volunteered to help with the Phone Tree.  Chantel Markel’s name was suggested as the Reading Chair.

2011-2012 Dixie Sun PTA Goals:

• Increase number of parent volunteers
• Ensure PTA programs are affordable for all families
• Continue communication with parents

Jerry Olson also suggested that we continue to work on our image with the public and the board by continuing newspaper articles and possibly doing another Open House.

Other board member suggestions:

• advertise at a booth in Vernon Worthen park over the summer
• establish a network with the other Spanish strand elementary schools in the State.
• partner up with a school from another country.
• participate in BYU’s Language fair

Mr. Porter mentioned that Dixie Sun is already connected with a consortium of dual immersion schools.  It might be possible to add a PTA element to this organization.

The board brainstormed ways to ensure the future of a Spanish program onceDixieSun students graduate to middle school.  It was suggested that a letter be sent home that parents can sign to express their interest in having Spanish continue in the upper levels.

PTA Membership Theme and Drive: Report by Shannon Woolf

Membership Theme: Building Bridges.

Membership Drive:  The PTA will cover the membership dues for 1 parent in each family so that the PTA can be open and free for everyone. In return, the PTA requests that parents commit “Three for Me”—Three hours of service at the school over the entire school year.

Additionally, Shannon suggested giving parents legos for helping to “build” the PTA. These legos will be used as part of a school-wide endeavor to build a bridge together.  Also, there will be grade level competitions to build famous 2D bridges the fastest by having parents join the PTA .

It was noted that the concept of PTA is poorly understood by many.  It would be helpful to provide very basic instructions about what the PTA is and what membership entails.

Laura Najera mentioned how important it is that we respect parents and make them feel like their voices are really being heard.

Calendar Items:

Saturday, August 13^th was tentatively scheduled as a date to approve the PTA budget and get together for a PTA social.

The ending date of the Reflections Contest was moved to Tuesday, October 4^th.

Food for the International Dance Festival will begin at 5:00, not 6:30.

The uniform store summer hours will be Tuesday and Wednesday from 11:30-12:30 during the month of June. It will then be closed until August.

Plans for the 2011-2012 School Year

Treasurer, Shirleen Heaton:  Please use a separate receipt for PTA purchases.  Reimbursement requests can be found in the Treasurer Folder in the PTA box.

Dale Porter, Admistrative VP:  Explained how there are multiple parent groups within Dixie Sun, PTA, Community Council, and Community Action Council.  All of these groups work together to improve the Dixie Sun community.

Laura Bautista, Teacher Rep:  Mentioned that Spanish scores are looking really good.

Jerry Olson, Legislative VP:  Reminded us that we have power to speak up as parents in a way that teachers and administrators often cannot.

Casey Brown, Membership VP:  Wants to target men in membership campaign in order to get more fathers involved.  He suggested gearing some volunteer opportunities specifically for Dad.

Sonia Larsen, Dance Festival :  Sonia will need lots of volunteer help to organize the food.

Ann Esplin-Wong, Spell-a-Thon.  This fundraiser has been extremely successful in other schools, so we hope it will work well at Dixie Sun as well.  Spelling words will go out February 6^th.  Donations will be collected through February 17th

Fundraising:  Keep your box tops, Lin’s receipts, and tabs to soda pop cans.  You can support Dixie Sun as well when you use your Target Red Card or shop at Smiths by going online to select our school.

Shannon Virgin, Teacher Staff/Appreciation:  shared creative ideas to recognize staff efforts through monthly drawings, a catered luncheon, and recognizing birthdays

Laura Najera, Parent involvement:  Laura suggested helping parents become more involved by arranging a cultural event or performance for parents to attend.  We also talked about having parents come into the classroom and share some of their cultural heritage.

Christin Olson, Celebrate Children Chair:  Christin will continue to recognize student birthdays and oversee the Reflections contest and talent show.

Desiree Mortenson, Reflections Contest:  This year’s theme is “Diversity Means.”  Students can begin preparing projects now.  Desiree will need lots of help as the contest gets closer.

Rebecca Navas:  Rebecca will be responsible for the PTA bulletin board and is open to ideas.

Stephanie Sappington, Book Fair:  The book fair was very successful this year.  Next year Stephanie hopes to solicit even more help in running it.

Ryanne Day, Red Ribbon Week:  Ryanne had many good ideas about how to help steer students away from drug and alcohol during Red Ribbon week., such as having MissUtahspeak and showing diseased lungs.

Michelle Joines, School Uniform Chair:  A few new items have been added to the available inventory, such as girls’ pants,  a navy boys’ vest, and a longer skirt.  Also, Michelle requested that the teachers discuss their willingness to implement a monthly $1 dress-down day.  Without funds, the volunteer voucher program cannot continue.

Other Items:

Summer Movie sign up.  Volunteers are needed to help with Summer movies on Wednesday mornings at 8:30 am at Sunset Movies 8 beginning June 15^th and ending August 10^th.  A sign-up sheet was passed around.

Discussion about any remaining agenda items was tabled due to the late hour.  Information regarding sponsors will be e-mailed.
